{"id":3744,"date":"2023-10-26T08:38:25","date_gmt":"2023-10-26T14:38:25","guid":{"rendered":"http:\/\/support.prl.ab.ca\/?p=3744"},"modified":"2024-01-11T14:01:03","modified_gmt":"2024-01-11T21:01:03","slug":"ordering-process","status":"publish","type":"post","link":"https:\/\/support.prl.ab.ca\/index.php\/2023\/10\/26\/ordering-process\/","title":{"rendered":"Ordering Process for Allotment"},"content":{"rendered":"\n<p>Parkland created an ordering process that will allow libraries to order physical items, with allotment funds, regardless of its publication date.&nbsp;<\/p>\n\n\n\n<p>In addition, we have included how to submit carts if your allotment funds are spent for the current year and you are looking to order items already published towards your next years budget. These carts can begin to be submitted on December 1<sup>st<\/sup>.<\/p>\n\n\n\n<p>The process is as follows:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Libraries can create three types of allotment carts in ULS and CVS.<ul><li>Cart A: Items published between January \u2013 November<\/li><\/ul><ul><li>Cart B: Items published in December and the upcoming year (NYP)&nbsp;<\/li><\/ul>\n<ul class=\"wp-block-list\">\n<li>Cart C: Items to purchase against next year\u2019s budget-already published (current allotment is completed) start date of December 1<sup>st<\/sup>.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Libraries submit carts to Parkland Finance Clerks:<ul><li>Cart B: Libraries MUST comment in the title \u201cFuture NYP items\u201d when submitting the cart<\/li><\/ul>\n<ul class=\"wp-block-list\">\n<li>Cart C: Libraries MUST comment in the title \u201cDecember orders for next year\u2019s budget\u201d when submitting the cart &nbsp;<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Finance Clerks review carts to ensure items are in the appropriate cart.\n<ul class=\"wp-block-list\">\n<li>If items are in an incorrect cart, they will request library staff fix the error.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Finance Clerks will process the submitted carts. For Cart B and Cart C they will adjust the over-encumber amounts in Polaris.<\/li>\n<\/ul>\n\n\n\n<p>To be Noted:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Libraries should still strive to encumber current allotment dollars by September 30<sup>th<\/sup>.<\/li>\n\n\n\n<li>If libraries would like to know the number of items they have ordered, they must track it themselves.
