You may have noticed that search results in Leap were beginning to turn up long lists of withdrawn items- particularly with serials issues. Therefore, as per requests from many of our member libraries we have implemented a new process to remove items that have had a status of withdrawn for 3 or more months. This change takes effect on Monday, October 5th, 2020.
Things to note about the removal of withdrawn items:
- The removal of item records will not impact your annual report statistics.
- Affected items will be removed from patron reading history, and any patron lists.
- Affected items will be also be removed from any associated record sets.
Item Lifecycle in Polaris
It is important to note the lifecycle of Missing to Withdrawn and Lost to Withdrawn items in Polaris:
Missing to Withdrawn:
Missing items are materials that have disappeared from the shelf, and were not signed out by a patron.
Missing items are automatically changed to a withdrawn status after they have been in a missing status for 6 months.
Long overdue to Lost to Withdrawn:
Lost items are materials that have been checked out by a patron and have aged from checked out to long overdue and have been billed for. Items become long overdue at 21 days past the due date, and are billed for (and automatically changed to Lost) after 28 days.
Lost items automatically change to a withdrawn status after 12 months.
Removal of Withdrawn items:
Items that have been in a withdrawn status for 3 months will automatically be removed from Polaris.
